An IFTA return reconciles jurisdiction distance and fuel purchases for an active reporting period through the carrier’s base jurisdiction. Create a complete source-record set
Do not calculate from fuel totals alone. The return depends on total and taxable miles by jurisdiction, fuel type and tax-paid gallons, vehicle/account data, and the base jurisdiction’s current rates and rules.
- Trip sheets, dispatch or ELD/GPS distance evidence
- Odometer or hub readings where used
- Fuel receipts with date, seller, location, gallons, type, price, and vehicle/account connection
- Vehicle additions/removals and decal records
- Prior returns, credits, amendments, and notices
Reconcile exceptions before submission
Missing trips, duplicate fuel, personal or exempt miles, bulk fuel, reefer fuel, unit changes, and jurisdiction boundary errors should be resolved with evidence. A clean spreadsheet does not cure incomplete source records.
Protect the audit trail
Keep the source data, calculation method, submitted return, payment, and confirmation for the jurisdiction’s retention period. If a correction is needed, preserve both the original and amended records.

Frequently asked questions
When are IFTA returns due?
They are generally due on the last day of the month following each calendar quarter, subject to weekend/holiday rules and current base-jurisdiction instructions.
Can ELD or GPS reports replace all records?
They can support distance reporting when complete and reliable, but the carrier must still meet the base jurisdiction’s record requirements and retain fuel and vehicle evidence.
What if I had no travel?
An active IFTA account generally still requires a return for the quarter. File the appropriate zero-activity return according to the base jurisdiction.
Can a filed return be corrected?
Base jurisdictions provide amendment/correction processes. Retain the original, corrected workpapers, explanation, and confirmation.
